What authorizations are required?

There are two ways to determine who can authorize your department's keys?

  1. Ask your immediate Supervisor or Business Officer.
  2. Contact the Key Shop for the person on file for your department.

The preferred method is to ask you Supervisor or Business officer who has that authority in your area.

The Key Shop Authorizer List is updated only at the discretion of the department; the Key Shop is not responsible for out-of-date information on file which may delay your request.

Regardless, all university employees are expected to exercise good judgment in the request and authorization of keys, since liability for their misuse or misappropriation resides solely with the requestor and authorizer.

How do I request help with a lock?

For Key Shop support for a request that is not for a key, please fill out the Campus Work Request Form

How do I return my keys?

When will I be able to pick up my requested keys?

You will receive an email when your keys are ready for pick up. Then, you may visit our office anytime during our office hours Monday through Friday 7:30 am to 4:30 pm (we are closed from 12 - 12:45 pm for lunch).

For Day Keys and Sub Master Keys, the requester may designate a proxy in their department to collect the key(s) on their behalf at the Key Shop. This must be communicated prior to pick up via email (keyshop@uky.edu) or in the special instructions text field on the request form at the time of submission.

Grand Master keys must be picked up by the key holder in person and the requisite Statement of Responsibility form completed at that time.

How do I request a key inventory list for my department/unit?

To request a key inventory list for your department/unit, please email keyshop@uky.edu and include the name of your department and "key inventory request" in the subject of the email.

What to do if you key(s) are lost or stolen.

  • Report a lost or stolen key immediately to the Key Shop using the Lost/Stolen Key Report form
  • All reports of key loss will be reviewed by the Key Shop and/or Risk Management and UK Police to determine the potential impact on building security. Keys lost to residential room doors will be rekeyed regardless of the loss circumstances. Housing policy will dictate any costs passed to the resident.
  • Decisions as to rekeying non-residential facilities will be made on a case by case basis with due consideration to the potential impact on security.   If, as a result of lost or stolen keys, re-keying locks is determined to be necessary, the unit or department will be responsible for costs involved with replacing the cylinders and issuing the new keys.  A key loss will result in at least one of the following decisions:
    • No rekeying will be required;
    • The change key level will be changed (i.e., mandatory in residential room doors);
    • Rekeying will be partially required (i.e., exterior doors where an area master is lost, or rekeying of only the high risk spaces within a building where the building master key was lost);
    • Complete rekeying will be required (i.e., all doors affected will be rekeyed);
    • Rekeying will take place, but on a phased basis (i.e., exterior doors first, followed by high risk spaces, than other offices);
    • Security staff will be hired to secure the building to provide immediate remedial action.
