Facilities Project Management (FPM) manages construction projects with total project cost less than $1,000,000 for both the university and healthcare facilities.
To request a project, use this form: FPM Project Request Form (or copy and paste this link in a web browser: https://app.smartsheet.com/b/form/96909f851fd1429181c68a463bfbb5d5)
Where does the form go once submitted?
The project request will be forwarded to the department facilities representative for review and approval. If approved, the request will then go to Campus Planning for university projects or to the Office of Facilities, Planning, and Development (OFPD) for healthcare projects. If approved at this level, the request will then be sent to the Facilities Project Management Director for review and assignment to a project manager.
Why is a cost center required?
Once assigned to the project, the project manager will be allotted up to $1500 of billable time to compile a description of the project scope, an estimated budget, and a duration schedule. The actual time used, up to $1500, will be billed to the cost center provided on the project request form. If additional time is needed to compile this information, the project manager will contact the requesting department for approval prior to exceeding $1500 of billable time.
How does a project request become a project?
Once a project request is assigned to a project manager, the project manager is asked to compile a project scope description, budget, and duration schedule within fourteen days of the project request. This information is sent to the project request’s responsible party for review on a scope/budget/schedule feedback form along with a Project Establishment Form. If the project requester wants to move forward with the project, they will sign the feedback form and fill in the required information on the Project Establishment Form. Once this information is returned to the project manager, the project will move forward.
How long may the requesting department consider whether to move forward with a project?
After the project scope, budget, and duration schedule have been sent to the requesting party, they may take up to 90 days to determine whether to move forward with the project. After 90 days, the project may still be valid, but due to volatility in construction costs, a new budget would need to be compiled and approved prior to moving forward with the project.
