The Equipment Add/Modify/Delete System

The Equipment AMD System is used to manage equipment management requests. The system stores requests filled by members of the department in various "Inboxes" that track the status of the request. Any member of the department can view and search for filled requests and see the current state of the Inboxes.

Overview

Members of the department can fill out Equipment AMD Requests, specifying information about the piece of equipment that needs to be added, modified, or removed.

Once a request has been filed, it is stored in the Filled Out inbox, and the department member responsible for verifying and modifying the information in the request is notified.

After the team member makes their changes, they can move the request over for processing, where it is stored in the Modified inbox. The team member responsible for processing the information is notified, and this department member performs the task specified on the Equipment AMD Request. Once the task is complete, that team member moves the request to the Completed inbox.

At any point in the process, a request can be cancelled and moved to the Cancelled inbox.

Filling Out Requests 

To start a new request, please follow this link and fill out the necessary information. Pressing "Submit" will enqueue the request to be verified. You should receive an email (to the address you specified) that details how you can view the status of the request, and the team member responsible for verifying the request information will be notified.

Searching For Requests

Any member of the department can view the current status of requests by navigating to the Inbox page. You can see where each of the requests are in the pipeline, and you can click on any request to view the information specified within it.

You can also search for specified requests by navigating to the Search page. There you can search by specific parameters to find a request. You can click on any of the results to view more information about each request.

When viewing requests, you can view the events that have occurred on the request (filling, modification, cancellation, etc) by scrolling to the bottom of the page.

Managing, Verifying, and Processing Requests 

When a request is filled or in need of processing, you will receive an email with a link to the request. There you can modify any information provided in the request. You can also specify additional information in the "To Be Filled Out By Supervisor" and the "To Be Filled Out By PM Manager" sections. If you make any changes to the request, but do not yet want to move it to the next member or complete it, you can click on the "Save" button at the upper-left corner of the page to save your changes, but keep the request in your inbox.

Once the request has been verified or processed, you can move the request along the pipeline by using the controls that appear near the bottom of the page.

If you are verifying the request information, you can move the request to the next team member's inbox for processing by clicking on the "Ready For Processing" button. You can cancel the request by clicking on the "Cancel Request" button. When moving the request along the pipeline, you can optionally specify a comment about the action you took on the request.

If you are processing the request, you can complete the request, removing it from your inbox, by clicking on the "Request Completed" button. If the team member preceding you needs to specify additional information, you can push the request back to the last team member by clicking on the "Return for Modification" button. You can cancel the request by clicking on the "Cancel Request" button. When moving the request along the pipeline, you can optionally specify a comment about the action you took on the request.

Any request that has been completed or cancelled can be reclaimed by clicking on the "Return for Modification" or "Return for Processing" buttons, where they will return to the appropriate inbox and notify the member responsible for the inbox.

It is also possible to view all of the requests waiting on your actions by navigating to the Inbox page. There, you can see all of the inboxes managed by the system and the requests within them, sorted by the date of the most recent action to occur on the request.

Managing Permissions 

Specific members of the department can alter the permissions and notifications used within the system. Using these controls, you can specify who has access to making changes to the request at various stages of the pipeline and who is notified a request is added to their inbox.

At the Permissions page, you can view who has been assigned to which stages of the pipeline. The member is listed by their user id, under the action they can perform. Under the "Modify Requests" and "Process and Complete Requests," any member listed in those lists can view, modify, and move requests along the appropriate sections of the pipeline and will automatically be notified by email when a request is added to their inbox. Members listed in the "Reclaim Completed Request" and "Reclaim Cancelled Requests" have the ability to move request from the Completed or Cancelled inbox into either the Filled or Modified inbox. These members are not notified if a request is added to the Completed or Cancelled inbox.
